We invite families to reach out by phone or email with any questions about our program. We are happy to provide thoughtful guidance as you explore whether Learn By Heart is the right fit for your child and your family.

If our approach aligns with your educational, financial, and logistical needs, we will be delighted to schedule a formal tour and welcome you into our space.

Schedule A Tour


We encourage families to join us for a tour during school hours whenever possible, so you can experience our program in action. If that is not feasible, we are happy to accommodate after hours visits.

During your tour, we will walk you through our daily rhythms, including meals, rest time, and routines. We will share an overview of our curriculum, review school policies, and offer insight into the practices that guide our approach.

We will also take time to discuss the transition process, ensuring you feel informed and supported as your child begins their journey with us.

Enrollment


Following your tour, you are welcome to reach out if you would like to move forward with enrollment at Learn By Heart. At that time, we will provide all necessary enrollment forms and guide you through the next steps.

Together, we will establish a thoughtful transition plan and confirm your child’s official start date, ensuring a smooth and supported beginning for your family.

The program allows flexibility by repeating phases as needed according to the child’s comfort and agreement between parent and provider. Transition days are free to prioritize the child’s well-being.

The Transition Process

Phase 1: The 2-Hour Discovery

This phase is all about helping the child feel safe and curious through open play and gentle exploration. By choosing a calm, predictable time of day, we reduce overwhelm and allow confidence to build naturally.

9:00 a.m - 11:00 a.m.

Phase 2: The Social Milestone

In this phase, the child begins engaging more with peers while experiencing a shared mealtime in a supportive setting. Introducing lunch gradually helps ease common anxieties and builds comfort with social routines.

9:00 a.m - 1:00 p.m.

Once the child has shown comfort and success in shorter visits, they transition into the full schedule with greater ease. This step honors their readiness, ensuring the shift feels familiar, secure, and sustainable.

Phase 3: Full Integration

Safety & Health Protocol

At Learn By Heart, the safety and well being of every child is our highest priority. As a licensed provider, we strictly adhere to all health and safety regulations and are regularly evaluated to ensure full compliance. We implement comprehensive protocols to maintain a secure, healthy, and well supervised environment at all times.

Controlled Access
Entrances are secured with a coded keypad. Parents are provided with the access code for entry, and all visitors are admitted at staff discretion.

Active Supervision
We maintain low child to teacher ratios to ensure consistent, attentive care. When children under age 3 are present, we operate at a 1 to 10 ratio. When all children are age 3 and older, we operate at a 1 to 12 ratio. Typically, there are 2 staff members for every 10 children, allowing for close proximity and active supervision at all times.

Authorized Pickup
Children are released only to individuals who have been pre approved by parents and designated as authorized for pickup.

Safe Sleep
All staff receive comprehensive training in safe sleep practices and consistently follow all established safe sleep guidelines.

Strict Illness Policy
To protect the health of all children, we enforce clear illness guidelines, including when a child must remain at home and when a doctor’s note is required to return. Additional precautions are taken in cases of contagious illness.

Sanitation Routines
Our learning environment is cleaned daily using proper sanitation methods to maintain a healthy space for all children.

Handwashing
Our handwashing policy, outlined in our contract, includes consistent practices such as before and after meals, after outdoor play, after diapering, and after restroom use.

Certifications
All staff members maintain current CPR and First Aid certifications.

Childproofing
Electrical outlets are covered, heavy furniture is secured to walls, and all cleaning supplies and medications are stored in locked cabinets.

Outdoor Safety
Our outdoor play area is fully fenced and designed with child safe, age appropriate materials.

Caring & Consistent Communication

  • The Bartholomew County Public Library’s Book Mobile visits us regularly at Learn By Heart.

We use the Playground app to create a seamless connection between our classroom and your home, keeping you informed and engaged every step of the way.

Real Time Daily Notes
Stay connected to your child’s day with live updates on activities, meals, and milestones. Teachers share photos and notes through an ongoing activity feed, so you never miss a moment.

Hassle Free Tuition and Billing
Easily manage tuition through the secure billing portal. View balances, make payments, set up autopay, and access year end tax statements all in one place.

Food & Nutrition

At Learn By Heart, we believe high quality education begins with high quality nutrition. We are proud participants in the CACFP (Child and Adult Care Food Program) through the Joyce Network, ensuring every meal meets USDA guidelines and supports your child’s growing brain and body. Our program includes regular audits, providing an added layer of accountability and care.

Our Balanced Approach
We prioritize whole foods and thoughtful variety to help children build lifelong healthy habits. Each day includes at least one whole grain rich item, and all meals and snacks are served with 1% milk to support strong bones and development. Our menu rotates monthly, introducing a wide range of flavors and food groups to encourage exploration and reduce picky eating.

Daily Meal Schedule
Breakfast (7:30 – 8:15 AM) offers a nourishing start with a fruit or vegetable paired with a grain or protein.
Lunch (11:00 AM – 12:00 PM) provides a complete, balanced meal including a grain, vegetable, fruit, and protein.
Afternoon Snack (3:00 – 3:45 PM) gives children a healthy boost with a combination of grain, protein, fruit, or vegetable.

Stay Connected
Our weekly menu is shared through the Playground app, so you always know what is being served.

Allergy Awareness and Community Support
We are an allergy aware facility and are happy to discuss individual dietary needs during your tour. We also value supporting families beyond the classroom and can connect you with community resources such as WIC and breastfeeding support.
